Decide which system owns each piece of data
The rule that prevents most integration problems is the same for any business system: each type of data has one system of record, the only place where it is created and changed. A typical split for a company using Pipedrive:
| Data | Owner | Flows to |
|---|---|---|
| Leads and deals, sales activities | Pipedrive | Marketing tools, reporting |
| Customers, once they have ordered | ERP | Pipedrive, as read-only reference |
| Products and price lists | ERP | Pipedrive, for quotes |
| Orders, invoices, payment status | ERP or accounting | Pipedrive, as information on the deal |
| Marketing consent and preferences | Marketing automation or CRM, decided once | The other system |
When two systems can both edit the same record, they will eventually disagree. Writing this table down before connecting anything is the best hour you will spend on the project. We cover the general approach in our guide to system integration.
The main connections
Website and lead capture
Forms on the website should create leads in Pipedrive directly, with the source recorded, rather than arriving as emails that someone retypes. Pipedrive's own web forms and chat tools can do this; forms built into your website can do the same through the API or an integration platform. Add consent checkboxes where required, and store the consent with the contact.
Email and calendar
Two-way synchronisation with Gmail or Microsoft 365 links conversations and meetings to the right deals. It is usually the integration with the highest return for the least effort, and it is the one that most influences whether salespeople keep using the CRM.
Marketing automation
Newsletters, nurturing sequences and event invitations need contacts, segments and consent. Whether you use Pipedrive's own email marketing features or a separate marketing automation platform, decide where segments are defined and make sure unsubscribes flow back to every system that sends email. Lead scoring based on marketing engagement can then update the lead in Pipedrive, so that sales sees which contacts are warming up.
ERP and accounting
The link with the ERP closes the loop between selling and delivering:
- a won deal can create the customer and the order in the ERP, avoiding manual re-entry;
- products and prices come from the ERP, so that quotes match the official price list;
- invoice and payment status can be shown on the deal or the organisation, so the salesperson knows before calling.
This is where integrations are most valuable, and where they need the most care: it touches financial data.
Native integrations, platforms or the API?
There are three ways to build each connection, and a mature setup often uses all three:
- Marketplace apps from Pipedrive's ecosystem cover common tools and are quick to install. Check what they synchronise, in which direction and how often.
- Integration platforms such as Make or Zapier let you build flows without writing code. They are well suited to simple, moderate-volume flows, as long as someone owns and monitors them.
- The Pipedrive API and webhooks give full control for business-critical flows, such as the ERP link, where you need validation, error handling and logging.
The choice depends on volume, criticality and who will maintain the flow, not on which option is fastest to set up on day one.
Making the sync reliable
Integrations fail silently unless they are designed not to. For each flow:
- avoid duplicates by matching records on a stable identifier, such as a customer code, not on names;
- handle errors visibly: a record that cannot be synchronised should end up in a queue that someone checks, not disappear;
- log what was changed and by which flow, so that a wrong value can be traced back;
- respect API limits with batching and retries, especially during initial loads;
- test with real data in a sandbox or a test company before switching on.
Data protection along the chain
Every connected tool is another processor of personal data. Keep the list of systems and data flows up to date, sign data processing agreements with each provider and check where data is stored, as described in our checklist on nLPD and GDPR.
Where to start
Configure Pipedrive around your sales process first, as described in our article on setting up Pipedrive for B2B sales. Then connect email and calendar, then lead capture from the website, and only then the ERP. One reliable integration at a time is better than five fragile ones. Our CRM and office automation service designs and builds these integrations, documented and monitored, as part of our work as a Pipedrive Authorized Partner.
